The Select to Pay & Aging Screen allows you to enter bills in Accounts Payable as vouchers. The vouchers are coded to the proper account in General Ledger, inventory item in Inventory Control, asset item in Fixed Assets, or job activity in Job Costing. A voucher can be disbursed to any module and no limit is set on the number of distributions for a single voucher.
You can pay bills by voucher or vendor and you are able to select different voucher or vendor properties. Bychecking on the aging functionalities, you are able to determine how old a payables document is. You may select to age either by <due date> or by <invoice date>. The A/P module enables you to use the above aging periods, or to define your own. When aging is done by invoice date, a document becomes 1 day old on the first day after the vendor’s invoice is posted.
Company: This is the vendor company name
Vendor Number: This is a unique vendor name
Last Name: This is the vendors last name
First Name: This is the vendors first name
Address: This is the vendors location address
E-Mail Address: This is the vendors email address
Social Security #: This is the vendors social security number
Phone Number: This is the vendors landline number
Cell Number: This is the vendors mobile number
Pay Group: This allows you to define whether the vendor is to be paid based on discount, weekly, month, regularly or slow pay
Vendor Type: This is the vendor classification/category
Number: This is the voucher number
Minimum Due Date:This is the minimum date when the voucher is due
Maximum Due Date:This is the maximum date when the voucher is due
Minimum Invoice Date: This is the minimum invoicing date
Maximum Invoice Date: This is the maximum invoicing date
Rep: This is the associated sales representative name
Purchase Order: This is the PO associated with the payment
Cash Account: This is the account where the payment is to be done
