How to Change the Basic Layout of an Invoice

Your OpenPro installation is based on default fields found in our OpenPro live demo hosted on our web site. We felt it was better to have your new installation populated with default fields that you could choose to use or not. A standard question about invoices follows.

How can we customize the invoices in OpenPro? When we print out a Quote, the the bottom fields read:

How do I make this go away?

All of the above-mentioned fields are user definable. “Tracking” is a place to add a Tracking Number from a delivery service. The other fields starting with “User Def2:” are also definable any way you want it. If you don’t need them, you can delete them.

How to delete or modify these fields

The user defined fields and order notes are found in the following location.

You must be logged in with Administrative rights to see the following.

From the menu on the left, click on:

  • Rules Setup. Then click on:
  • Table. You will see a gray box that says “Type Code”. Next to that is a drop down list of tables you can edit.

The first field we want to look at in this example is the field currently called Tracking. This field name in the OpenPro database is actually called Order Defined Field 1. Choose this field name and then click on the Go button. The properties of the field will now be displayed.

You have the option of deleting the field completely or editing the field. If you want to preserve the field but remove the default text in that field, all you need to do is delete some of the text from the Title field. The Title field is a required field and there must be at least one character in the field. Place a period (.) or slash (/) in the field and save the changes.

Pull up Order User Defined Field 1, 2 and 3 and delete them or blank them out in case you want to use them, then pull up invoice notes and do the same.

Terms and conditions are located on the templates folder, file terms.tpl.

The same logic goes for the quotes, picking ticket, sales order, purchase order and other forms with in the OpenPro ERP Software.
